6. Disciplinary Procedures

Disciplinary Procedure at Coleshill Cricket Club

1. Purpose

The procedure provides a fair and consistent approach to handling breaches of club policies and procedures and code of conduct.

2. Stages of the Disciplinary Process

Stage 1: Informal Discussion
For minor or first-time breaches:
• The Captain, Team Manager, or Committee Member may speak to the individual informally.
• The aim is to correct behaviour without formal action.
• The conversation may be recorded in committee notes for reference.
If the issue is resolved, no further action is taken.

Stage 2: Formal Investigation
If the breach is serious, repeated, or unresolved:
• The Committee (or a sub-group) will conduct a fact-finding investigation.
• The individual will be informed of the concerns and may be asked to provide a written statement.
• Evidence (screenshots, witness statements) may be reviewed.
The committee will then decide whether formal disciplinary action is required.

Stage 3: Disciplinary Hearing
If a hearing is necessary:
• The member will be invited in writing with reasonable notice.
• They may bring a representative or witness.
• The committee will present the evidence and allow the member to respond.
After deliberation, the committee will issue an outcome.

3. Possible Outcomes

Depending on the severity of the breach, possible actions include:

Informal Outcomes
• Verbal warning
• Request to remove or correct the offending post if social media related
• Mediation between parties

Formal Outcomes
• Written warning
• Removal of admin/posting privileges
• Suspension from matches, training, events, or facilities
• Removal from Club WhatsApp groups or social platforms
• Final written warning
• Termination of Club membership (for serious or repeated misconduct)

For Junior Members
• Parents/guardians will be informed
• Safeguarding considerations may take priority
• Actions may include restricted social media posting or education on safe online behaviour if issue is related to online behaviour

4. Appeals Process

The member has the right to lodge a written appeal within 7 days of the decision.
A separate group of committee members (not involved in the original decision) will review the appeal. The appeal decision is final.

5. Confidentiality

All disciplinary matters will be handled respectfully and confidentially. Information will only be shared with those who need to know.
